1. About this policy
Edugent is an education management platform provided by Plurigent Technologies Private Limited ("Plurigent", "we", "us", "our"). This Privacy Policy explains how personal data is processed when you:
- visit www.edugent.in or request a demo;
- use the Edugent platform — the web admin, the parent and student portal or the mobile app — as an authorised user of an institution that subscribes to Edugent.
The Plurigent corporate website at plurigent.in has its own privacy policy.
2. Our commitment
We follow the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025, together with other applicable Indian laws, in the way we collect, use, store and protect personal data.
3. Institutions and Edugent
Data in the Edugent platform. Each institution that uses Edugent decides what personal data of its students, parents, guardians and staff is recorded in the platform and why. For that data, the institution is the Data Fiduciary, and Plurigent processes it on the institution's behalf as a Data Processor, under our agreement with the institution and only on its instructions.
Website and business contacts. For demo requests, enquiries and our business relationship with institutions, Plurigent is the Data Fiduciary.
If you are a student, parent or staff member, your institution's own notice explains how it uses your data. Questions about data held by your institution are best sent to the institution first.
4. Personal data we process
Website and demo requests
- Name, role, institution name and type, email address, phone number and student strength;
- Anything else you choose to include in your message;
- Technical information such as IP address, browser type and pages requested, recorded in server logs.
Edugent platform (on behalf of institutions)
Depending on the modules an institution uses, this may include:
- Students: name, registration number, programme, division, session, status, date of birth, contact details, admission application details and documents submitted during admission;
- Parents and guardians: name, relationship to the student, phone number and email address;
- Staff: name, contact details, role and campus assignment;
- Academic records: attendance, leave, timetables, exam marks and results;
- Fee records: fee dues, fines, discounts, payments, receipts and payment references;
- Campus services, when enabled: library issues, transport routes and stops, hostel allocation and inventory issued to students;
- Account data: login identifiers, one-time password verification and session information.
5. How we use personal data
- To provide, operate, secure and support the Edugent platform for institutions;
- To let authorised users sign in and access information appropriate to their role;
- To send one-time passwords, invitations and service notifications;
- To respond to demo requests and enquiries, and to manage our relationship with institutions;
- To maintain the reliability and security of our systems and prevent misuse;
- To comply with legal obligations.
We do not sell personal data, and we do not use data in the Edugent platform for advertising.
6. Children’s data
Many students whose records are kept in Edugent are under 18. Institutions are responsible for obtaining verifiable consent from a parent or lawful guardian where the law requires it, and for relying on any exemption that applies to educational institutions.
We process children's data only to provide the Edugent platform to their institution. We do not track children, monitor their behaviour or target advertising at them.
8. Online payments
When a parent or student pays fees online, card, UPI and bank details are entered on the payment gateway's pages and processed by the gateway. Edugent receives the payment status and reference details needed to record the payment and issue a receipt.
9. Security
We use reasonable security safeguards to protect personal data, including encrypted connections, role-based access so users see only what their role allows, and separation of each institution's data. No system is completely secure, but we work to prevent unauthorised access, use, disclosure or loss.
10. Retention and deletion
Data in the Edugent platform is kept for as long as the institution uses Edugent, and is then returned or deleted in line with our agreement with the institution and applicable law. Demo requests and enquiry records are kept for as long as needed to respond and follow up, and then deleted.
11. Your rights
Under the Digital Personal Data Protection Act, 2023, you have the right to:
- obtain information about the personal data processed about you;
- request correction, completion, updating or erasure of your personal data;
- withdraw consent where processing is based on consent;
- have your grievances addressed;
- nominate another person to exercise your rights in the event of death or incapacity.
For data your institution holds in Edugent, please contact your institution; we will support the institution in responding. For other requests, write to [email protected]. We may need to verify your identity before acting on a request.
12. Grievances
Send privacy questions, requests and grievances to [email protected]. We will respond within the time required by law. If you are not satisfied with our response, you may approach the Data Protection Board of India.
13. Personal data breaches
If a personal data breach affects data in the Edugent platform, we will inform the affected institution without delay and help it meet its obligations. Where we are the Data Fiduciary, we will notify the Data Protection Board of India and affected persons as required by law.
15. Processing outside India
If any service provider processes personal data outside India, we will do so only as permitted under Indian law.
16. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last updated. Where changes materially affect how data in the Edugent platform is processed, we will inform subscribing institutions.
